Privacy policy

Last updated: 18 October 2026

DanceNow provides software for schools to manage schedules, bookings, payments and student records. This notice covers personal data processed by DanceNow itself.

Who is responsible for which data?

The dance school where you book a class is the controller of its student records. DanceNow processes those records only on the school’s instructions and under a data processing agreement. Contact the school to request access, correction or deletion of its own administrative records.

DanceNow is the controller of your central DanceNow account, profile, followed schools, communication preferences and student-app security. This also applies to dance-school owners’ details and visitors to dancenow.studio.

What data do we process?

For accounts and bookings, we process the information you provide: name, email address, phone number, date of birth, bookings, attendance and payment status. For dance-school owners, this also includes business and invoicing details.

Some programme registrations may ask for additional information, including health information. The relevant programme privacy notice explains why, who has access and your choices. We do not sell personal data.

Why do we process it?

To reserve your place, inform you about class changes, process payments and maintain the school’s records. The legal basis is performance of the agreement and, for financial records, a legal obligation.

We also record a limited number of technical product events, such as creating a studio, publishing a schedule or confirming a first booking. These events contain no name, email address, phone number, IP address or browser ID. Our legitimate interest is improving onboarding and reliability.

Who do we share it with?

Only service providers needed to operate DanceNow: Supabase for databases, accounts and file storage in the EU; Vercel for hosting; Mollie for online payments; Brevo for account and booking email; Meta / WhatsApp for messages you consent to; and your device’s push service for notifications you enable. Device subscriptions are used only to deliver the requested notifications.

We put appropriate data-protection agreements in place where required. Mollie processes card details directly. DanceNow stores payment references, amounts and statuses for bookings and financial records. Bank details supplied by organisers for payouts are stored with separate protection.

How long do we keep it?

We retain account data while your account exists. The school retains booking and attendance information for as long as needed for its records. Records subject to statutory tax retention requirements are kept for seven years.

Your rights

You can start deleting your central student account in the app under Profile → Delete student account. After confirmation, your login, sessions, central profile and communication preferences are deleted. You can no longer use that account to log in or manage bookings.

Deleting your account does not automatically cancel or refund a class or programme. The responsible school or payment provider may retain necessary agreement, booking, payment and invoice records. Unnecessary data is deleted or anonymised. A shared family profile is not deleted on another parent’s or guardian’s behalf.

You have rights of access, correction, deletion, restriction and portability, and may object to processing. Contact DanceNow about your central account, or the school about its own records. You may also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Cookies

DanceNow uses functional cookies to keep you signed in, secure your session and remember your language choice. We do not use tracking or advertising cookies. The technical product events described above do not use cookies or device IDs to track visitors.
